Document Archive and Task Management: What’s New
The ability to upload files (pdf, csv, images, etc.) has always been a feature of 4HSE, but we’ve given the section a graphic redesign to improve usability and make it even more intuitive. In addition, to further enhance usability, we’ve introduced another new feature: you can now add tasks directly from the “People” section within the relevant site.
Document Archive
Key word: simplicity!
It’s worth emphasizing because it’s a key aspect we’ve focused on and continue to prioritize. The goal of 4HSE is to make work safety management easier, not more complicated.
So, we’ve designed the document archive navigation to feel like a “filesystem,” allowing you to create folders in addition to documents and organize them according to your needs.
The new layout of the document section consists of:
- Global toolbar
- Folder list
- Contents of the selected folder
- Details of the selected content
Let’s take a closer look at the changes.
Folders and Documents
You can choose whether to create a new document or a new folder. The document or folder will be created inside the folder you selected earlier from the “folders” section.
You can move documents or folders by dragging them into a parent folder or by clicking the button in the details toolbar.
Adding Attachments
What’s easier than Drag & Drop? To add an attachment, simply drag it into the box, or alternatively, click the upload button.
To download an attachment, click the “download” button (downward arrow) in the document’s details toolbar.
Document Revisions
In addition to regular saving, we’ve introduced the option to save a document as a new revision. How to do this? Simple—choose the “Save new revision” option from the dropdown menu.
Previous document revisions can be reviewed by opening the revision details.
Archived Documents
You can archive documents by clicking the “Archive” button (represented by a clock icon) and setting the document’s validity period.
Once a document is archived, you can still view it by clicking the button.
Attachments
The “paperclip” icon, which used to appear in the details of any entity (e.g., tasks, work phases, equipment, maintenance, etc.), has been removed. To associate a new document, go to the details section, click “attachments,” and add the attachment (new or already existing).
When creating a new attachment, it is automatically added to the “Uncategorized” folder within the Document Section, awaiting organization into the appropriate category/folder.
Task Management
By accessing the details window of a site, in the “People” section, you’ll find a new tab labeled “Tasks.” From this tab, tasks can be assigned to personnel.
Note: Only tasks that have already been added to the system can be assigned from this tab.
Support
The support section has been moved from the desktop to within the project.
